This privacy notice is provided pursuant to Articles 13 and 14 of Regulation (EU) 2016/679 of 27 April 2016 on the protection of natural persons with regard to the processing of personal data, and in compliance with the applicable legislation on personal data processing and the free movement of such data.

This notice refers to the website https://2027.fib-conceptualdesign.org, owned by fib International (International Federation for Structural Concrete), through which the conference entitled “fib International Symposium on Conceptual Design of Structures” is presented and promoted. The conference will be held at the Lecco Campus of Politecnico di Milano from 6 to 8 September 2027.

The website is owned and operated by fib International, which acts as a data processor for hosting, maintenance, and security.

fib International may also process limited technical data (e.g. server logs, IP-based security data) as an independent controller for security purposes.

4. Data processing purposes

Personal data is processed for the organisation and communication of the conference, including registration, abstract submission and review, and related administrative activities.

The personal data referred to in this notice are processed by the Lecco Campus of Politecnico di Milano in the performance of its tasks carried out in the public interest, including:

  • allowing users to browse the web portal;
  • providing users with information relating to the Conference;
  • enabling users to request further information through the online form on the “contact us” page;
  • organizing and enabling registration and participation in the Conference;
  • managing the submission of abstracts and papers by authors and carrying out the related evaluation procedures;
  • producing multimedia content related to the Conference;
  • ensuring the proper functioning of the web portal, carrying out monitoring activities to support its security and identifying actions aimed at its improvement (for browsing data);
  • complying with legal obligations, fulfilling orders from public authorities, and ascertaining possible liability in the event of hypothetical cybercrimes against the website or its users.

The IT systems and software procedures used to operate this website acquire, during their normal operation, certain personal data whose transmission is implicit in the use of Internet communication protocols. This information is not collected to be associated with identified data subjects, but by its very nature could, through processing and association with data held by third parties, allow users to be identified.

This category of data includes IP addresses or domain names of the computers used by users connecting to the site, URI (Uniform Resource Identifier) addresses of requested resources, the time of the request, the method used to submit the request to the server, the size of the file obtained in response, the numerical code indicating the status of the server’s response (successful, error, etc.), and other parameters relating to the user’s operating system and IT environment.

These data are used solely to obtain anonymous statistical information on website usage and to ensure its proper functioning. The data may also be used to ascertain responsibility in the event of hypothetical cybercrimes against the site.

Data voluntarily provided by the user

The optional, explicit and voluntary sending of emails to the addresses indicated on this site, as well as the completion of online forms, entails the subsequent acquisition of the sender’s address, necessary to respond to requests, as well as any other personal data included in the message.

Additional personal data voluntarily provided by users, such as personal or identifying data supplied during Conference registration or submission of abstracts/papers through specific collection procedures, will be processed for the organization and management of the “fib International Symposium on Conceptual Design of Structures”, within the limits established by law and regulations, in accordance with the principles of transparency, fairness, and confidentiality, as set out in Legislative Decree 196/2003 as amended.

  • ConfTool, the conference management system, acting as Data Processor on behalf of the organizers.

  • request from the Data Controller, pursuant to Articles 16, 17, 18, 19, and 21 of Regulation (EU) 2016/679, access to their personal data, rectification or erasure of the same, restriction of processing, or to object to processing. Erasure is not permitted for data contained in records that the University is legally required to retain;
  • lodge a complaint with a supervisory authority.

The University does not share personal data with such sites and is not responsible for their content, security, or privacy practices, and expressly disclaims any liability.

Photographs and recordings taken during the conference may constitute personal data and are processed for documentation and communication purposes under the responsibility of the data controller.
